Job description

A well-established property management organisation is seeking a Leasing Administrator to support its leasing function across a diversified property portfolio. The successful candidate will be responsible for managing the full leasing administration process, ensuring accurate documentation, efficient tenant onboarding, and seamless coordination between leasing, property management, and finance teams. This role is critical in maintaining operational efficiency within the leasing function and ensuring a professional and consistent tenant experience from application through to occupancy.

Key Responsibilities

  • Provide end-to-end administrative support to the leasing team across residential and/or commercial portfolios
  • Prepare, process, and manage lease agreements, renewals, addendums, and terminations
  • Ensure all tenant and lease documentation is accurate, complete, and properly recorded and filed
  • Coordinate tenant onboarding processes, including applications, vetting, and approval tracking
  • Liaise with tenants, brokers, and internal departments regarding leasing queries and documentation requirements
  • Maintain and update lease schedules, tenant databases, and property management systems
  • Track lease expiry dates and assist with renewal processes and supporting negotiations
  • Assist with credit checks, reference verification, and compliance requirements for new tenants
  • Support the handover of rental billing information between leasing and finance teams
  • Prepare leasing reports, occupancy schedules, and portfolio summaries as required
  • Ensure compliance with internal policies, procedures, and relevant property legislation

Minimum Requirements: 

  • Matric (Grade 12) essential
  • Relevant qualification in Property Management, Administration, or similar field advantageous
  • 2–4 years’ experience in leasing administration or property administration
  • Experience within a property management or real estate environment preferred
  • Strong proficiency in MS Office (Excel, Word, Outlook)
  • Exposure to property management systems advantageous
