Job Description
A well-established retail property investment and shopping centre management organisation based in Johannesburg South, is seeking to appoint a Leasing Administrator to support its growing retail portfolio.
The business operates within the convenience and destination retail property sector, managing a portfolio of shopping centres and retail developments across Gauteng. With a long-standing presence in the South African property market, the organisation focuses on leasing, property management, and retail centre optimisation to ensure strong tenant mix, high occupancy levels, and sustainable rental growth.
The successful candidate will support the full leasing administration function within a fast-paced retail environment, ensuring accurate documentation, efficient coordination, and effective tenant engagement.
Key Responsibilities:
Leasing Administration:
- Prepare, process, and manage lease agreements, renewals, and terminations for retail tenants
- Ensure all lease documentation is accurately completed, signed, and properly filed
- Maintain up-to-date tenant records and lease schedules
- Track lease expiries and assist with renewal processes and follow-up
Retail Tenant Coordination:
- Liaise with retail tenants regarding leasing agreements, queries, and renewals
- Coordinate store viewings, handovers, and tenant onboarding processes
- Provide professional support to tenants and prospective retailers
- Assist in resolving tenant queries in a timely and structured manner
Vacancy & Portfolio Support:
- Assist in maintaining and updating retail vacancy listings across shopping centres
- Support leasing teams in achieving occupancy and tenant mix targets
- Coordinate store openings, relocations, and tenant transitions
- Provide leasing activity updates and reports to management
Administrative Support:
- Maintain accurate digital and physical filing systems
- Assist with preparation of leasing reports and documentation packs
- Ensure data integrity across leasing systems and databases
- Support general administrative functions within the leasing department
Compliance & Process Management:
- Ensure all leasing activities comply with internal policies and legal requirements
- Maintain confidentiality of tenant and company information at all times
- Support adherence to retail property management standards and procedures
Minimum Requirements:
- Matric required
- Diploma in Property Studies, Business Administration, or related field (advantageous)
- 1–3 years’ experience in leasing, property administration, or retail property environment (essential)
- Strong MS Office skills (Excel, Word, Outlook)
- Experience with property management systems (advantageous)
