Job description

A well-established property management organisation is seeking to appoint an experienced Portfolio Manager to oversee a diversified portfolio of commercial and residential properties.

The organisation is focused on delivering high-quality property management services across multiple assets, with a strong emphasis on operational efficiency, tenant satisfaction, compliance, and sustainable asset performance. The successful candidate will be responsible for ensuring that all properties within the portfolio are effectively managed, well-maintained, and aligned with strategic and financial objectives.

This is a hands-on, performance-driven role requiring strong operational oversight, financial discipline, and the ability to manage multiple stakeholders across tenants, contractors, and internal teams.

Key Responsibilities:

Portfolio & Property Operations:

  • Oversee the daily management and operational performance of commercial and residential properties
  • Ensure all properties are maintained to required standards and remain fully functional and compliant
  • Coordinate all maintenance activities and ensure timely resolution of property-related issues
  • Manage service providers and contractors to ensure quality delivery and cost efficiency
  • Conduct regular property inspections across the portfolio

Tenant & Occupancy Management:

  • Manage tenant relationships and ensure high levels of tenant satisfaction
  • Handle tenant queries, complaints, lease renewals, and related matters professionally
  • Support tenant retention and occupancy optimisation strategies
  • Ensure effective communication between tenants, landlords, and internal teams

Financial Management:

  • Monitor financial performance across the property portfolio
  • Assist with budgeting, forecasting, and expense control
  • Track rental collections, arrears, and operational expenditure
  • Support initiatives to improve income performance and asset value

Compliance & Risk Management:

  • Ensure compliance with applicable legislation, municipal requirements, and internal policies
  • Maintain health, safety, and quality standards across all properties
  • Identify operational risks and implement corrective actions where required
  • Ensure full compliance across operational and property processes

Administration & Reporting:

  • Maintain accurate property records and documentation
  • Prepare operational and management reports as required
  • Ensure lease, maintenance, and compliance records are up to date
  • Support administrative processes within the portfolio

Leadership & Stakeholder Management:

  • Supervise on-site staff, contractors, and service providers where applicable
  • Build and maintain strong relationships with tenants, landlords, and stakeholders
  • Provide leadership support within the property management function\
  • Ensure consistent professional service delivery across the portfolio

Minimum Requirements:

  • 5+ years’ experience in property management or portfolio management
  • Strong experience managing commercial and residential property portfolios
  • Good understanding of property operations, maintenance, and compliance
  • Strong financial acumen including budgeting and cost control
  • Experience managing tenants, contractors, and service providers
  • Strong leadership and stakeholder management skills
  • Excellent organisational and communication abilities
  • Ability to manage multiple properties under pressure
  • Proficient in Microsoft Office and property management systems
  • Relevant property, business, or related qualification advantageous
