Job description
A well-established property management company is seeking to appoint a highly organised and proactive Community Scheme Administrator to support a Community Scheme Manager in managing sectional title / body corporate portfolios. The role requires a strong administrative professional with excellent communication skills and solid exposure to the sectional title environment. The successful candidate will play a key support function in ensuring smooth portfolio administration, accurate governance processes, and efficient stakeholder communication across multiple community schemes. This is a fast-paced, high-volume support role requiring strong attention to detail, responsiveness, and the ability to manage multiple priorities across various properties.
Key Responsibilities:
Administrative & Portfolio Support:
- Provide full administrative support to the Community Scheme Manager
- Draft and type correspondence, trustee and owner communication, and meeting minutes
- Maintain and update property management systems
Stakeholder Communication:
- Liaise with trustees, chairpersons, and owners
- Manage high-volume email communication with a 24-hour turnaround expectation
- Act as a point of contact in the absence of the Community Scheme Manager
Meetings & Governance (AGMs):
- Prepare monthly packs for trustees and chairpersons
- Draft and send AGM notices
- Assist with AGM preparation and post-meeting workflows
- Submit CSOS annual returns
Finance & Operations Support:
- Ensure invoices are authorised and processed timeously
- Log and track insurance claims
- Assist with maintenance coordination and general operational queries
Minimum Requirements:
- Administrative experience in property management (strong advantage)
- Exposure to sectional title / body corporate environments (highly preferred)
- Experience in high-volume, client-facing administrative environments
- Matric (minimum requirement)
- Strong computer literacy and experience with property management systems (advantageous)
- Fully bilingual (Afrikaans & English)
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to work under pressure and meet strict deadlines
- Highly organised, proactive, and responsive
- Strong client service orientation
- Ability to manage multiple tasks simultaneously
- Willingness to work in a fast-paced, high-pressure environment
