Job description

A well-established property management and leasing organisation, operating across a diversified commercial and retail property portfolio, is seeking to appoint a Leasing Administrator within its regional leasing function.

The business is focused on delivering efficient tenant onboarding, strong occupancy performance, and seamless coordination between regional operations and head office leasing processes.

The successful candidate will provide end-to-end administrative and coordination support to Leasing Consultants and Property Managers, ensuring accuracy, compliance, and efficiency across all leasing workflows.

 

Key Responsibilities:

Leasing Administration & Coordination:

  • Support Leasing Consultants and Property Managers with day-to-day leasing administration
  • Gather, verify, and compile all required documentation for lease applications prior to submission
  • Ensure completeness and accuracy of FICA documentation and supporting lease information
  • Submit fully compliant application packs to head office for lease generation, vetting, and affordability assessments
  • Assist with lease renewals, including preparation, tracking, and follow-ups

Lead Management & Communication:

  • Manage incoming leasing enquiries and accurately log all leads
  • Distribute leads to Leasing Consultants and track progression
  • Follow up with prospective tenants to ensure deal advancement
  • Maintain professional and timely communication with tenants, brokers, and internal stakeholders

Data & Systems Management:

  • Maintain and update leasing trackers and reporting tools
  • Ensure vacancy schedules are accurate and consistently updated
  • Maintain broker databases and contact information
  • Update and manage online property listings across all platforms

Broker & Marketing Support:

  • Assist with coordination and organisation of broker events and engagements
  • Support broker relationship management through communication and record-keeping
  • Provide administrative assistance for marketing and leasing initiatives

General Leasing Support:

  • Monitor listing performance and flag inconsistencies or issues
  • Provide general administrative support across leasing operations
  • Assist with ad hoc leasing and portfolio-related tasks as required

 

Key Performance Indicators (KPIs):

  • Accuracy and completeness of lease application documentation
  • Turnaround time for application preparation and submission
  • Lead response time and follow-up efficiency
  • Accuracy and maintenance of leasing trackers and vacancy schedules
  • Data consistency across systems and property listings

 

Minimum Requirements:

  • Diploma or Degree in Property Studies, Finance, Business, or related field (advantageous)
  • Previous experience in property administration, leasing, or a similar support role
  • Understanding of leasing processes, FICA requirements, and tenant onboarding preferred
  • Strong proficiency in Microsoft Office (Excel, Outlook, Word)
  • Experience with property management systems such as MDA or MRI (advantageous)
  • Strong administrative, organisational, and multitasking abilities
  • High attention to detail and accuracy
  • Strong communication and interpersonal skills
  • Ability to work within structured, process-driven environments
